Project Assistant Brief
UK Young Artists (UKYA) is a nascent organisation that showcases the best of the UK’s young and innovative creative talent across art forms at regular national and international events. We are looking to recruit highly organised and enthusiastic Project Assistant/s with excellent communication skills and a passion for the arts. We welcome applicants interested in the part time or full time, combined role. The two roles on offer will support the following projects respectively:

Role 1. International Biennale of Young Artists from Europe and the Mediterranean 2011 in Morocco (www.bjcem.org). UK Young Artists requires a p/t Project Assistant on a fixed-term contract to support the British representatives taking part in this international event and the forward programme for UK Young Artists.

Role 2. World Event for Young Artists 2012 is seeking a Project Assistant for a minimum period of 25 days to support the next stage of its development, including its international launch event in March 2011. This is an exciting opportunity to be involved with a high-profile programme that will be one of the highlights of the Cultural Olympiad in the East Midlands region.

Candidates for both posts will have at least two years experience of working in an administrative role in an events or arts context, with knowledge of office systems, procedures and budgets, as well as an understanding of a broad range of IT applications. You must be able to work independently, whilst also working well as part of a team, with the ability to prioritise tasks, work under pressure and meet tight time scales.

The successful applicant/s will be expected to:

  • Role 1. Provide administrative support for UK Young Artists and the preparations for the Biennale of young artists from Europe and the Mediterranean (BJCEM) as well as its ongoing programme to support collaborations with Young Artists.
  • Role 2. Provide administrative support for the World Event for Young Artists (WEYA), working with the Interim Directors to plan the international launch in March 2011, including flight, visa, accommodation and venue bookings for delegates and its events programme. Advance booking accommodation and venues for the World Event for Young Artists in September 2012 will also be critical.
  • Both roles. To gather and collate data and documents required to underpin the delivery of major funding applications during the period of this contract
  • Both roles. To offer administrative support to the board and operational task groups that drive UKYA and the WEYA.
  • Both roles. To update and maintain the accuracy of web and other public-facing information


Person Specification
The Project Assistant will be a confident and pragmatic administrator.
He/She will:

  • be a good communicator, sensitive to the needs of multi-lingual partners and support organisations, businesses and individuals
  • be an efficient and energetic administrator with keen attention to detail, strong time-management and prioritisation skills
  • be culturally aware and interested in supporting young artists and practioners

    Essential skills and experience

  • office and IT skills, including confident use of Microsoft Office and ideally a knowledge of web-site editing and iPhone applications
  • basic skills in financial systems and ideally a knowledge of the SAGE accountancy package
  • experience of working in an arts organisation or events management
  • an appreciation of the grant funding application process
  • an understanding and sensitivity to an international cultural project with multiple partners
  • familiarity with East Midlands cultural venues and the World Event host venues tbc (Nottingham Castle, Nottingham Contemporary, Royal Centre, New Arts Exchange and Nottingham Playhouse)


Governance and reporting lines

  • Role 1. The Project Assistant will report to the Project Manager for UK Young Artists
  • Role 2. The Project Assistant will report to the Interim Director, World Event for Young Artists (a job-share role)

Terms and Conditions

  • Role 1. is a one year fixed-term p/t contract (December 2010-Dec. 2011) at £18,000 pro rata
  • Role 2. is for a minimum of 25 days (Dec. 2010 to Feb. 2011) at a freelance rate of £10 an hour


The contract will be with UK Young Artists, who are based in the Bonington Building at Nottingham Trent University.

Working unsocial hours may be necessary.

World Event for Young Artists 2012 draws together exceptional young talent from around the world in all art forms, as a culmination of the Cultural Olympiad plans for the region. This festival will happen across landmark cultural venues in Nottingham over a period of 10 days, offering 1000 young artists the chance to collaborate on a world stage and engage with the vibrant artistic and cultural communities in the city and beyond.

The World Event is supported by a partnership between Nottingham Trent University, Arts Council England East Midlands, the Cultural Olympiad in the East Midlands and Nottingham City Council, with UK Young Artists (UKYA) being the key vehicle for its delivery.
